Basic
Functions:
Position is
responsible for creating and following the Implementation Project Process
through to completion. Must possess excellent organizational, verbal and
written communication skills. Three or more years hands-on experience with
personal computers and Microsoft Office software. Excellent verbal and written
communication skills, flexible team player. Able to isolate, analyze and
correct problems. Maintains good customer relationship with internal and
external customers, excellent follow-through skills. Fast and accurate keyboard
skills, desire and ability to learn new things quickly, excellent proficiency
in Microsoft Excel, Likes working in fast paced, dynamic environment, enjoys
math and working with numbers, deadline oriented, able to successfully multi-task.

Creates,
updates, follows the Implementation Plan. This involves weekly client
contact, via telephone and e-mail.. |

Records
each telephone conversation in the client notebook by making detailed
notes of the items discussed. |

Follows
up with the client on outstanding issues, i.e. forwarding a network
diagram to ProfitLine. |

Providing
status updates on each client to Yvonne Blankenship. |

Creates
the new BillManagement client notebook and folder. |
 |
Keeps
updated notes in the client notebook regarding client contact. |
 |
Prints
and files e-mail received from the client throughout the week. |

Forwards
contact copies to Helen Pinegar, Melinda Queen and Maggie Bedford. |

Data
Entry follow up status on completing the Master Account Listing
and status on changes to the Master Account Listing. |

Description:
Supervises positions of: Implementation Project Process
Job
Summary:
This
person will be responsible to create and follow the Implementation Project
Process through to completion. An Initial Review is completed to schedule
an on-site client meeting. Once the meeting date is set, the Implementation
Project Manager travels with the VP to the new client site to gather information
to begin the Implementation Process. Prior to the on-site client meeting,
an Initial Review Meeting Agenda, a Request for Information, Letter of
Authorization and Telecommunications BillManagement Services Account Team
list is provided to the client.
During the
on-site client meeting, a packet of information is provided to the client.
The packet contains: a Welcome Letter, Implementation Flow, Review of
Telecom Checklist, Review of Documentation gathered (per RFI), Review
of Accounts Payable Checklist, Review of Documentation gathered (per RFI),
Review of Coding Requirements and Question and Answers as needed. The
meeting timelines are set on the Initial Review Meeting Agenda sheet.
After the
on-site client meeting, an Implementation Plan is created. The plan is
sent to the client for review and approval. The Implementation Plan is
used as a guide to meet the timelines set for implementating new BillManagement
clients at ProfitLine.
An Inventory
and Master Account Listing is created by the Data Entry Department. An
Inventory of the invoices received from the client is prepared. The next
step is to prepare a Master Account Listing. The Master Account Listing
is sent to the client for review and approval. The client frequently requests
changes to the Master Account Listing. Once the Master Account Listing
reaches final approval status, the client has a go-live date to send all
invoices to ProfitLine. After the go-live date, Kathleen Amaya and Chris
McGuire take over the client. The Implementation Project Manager forwards
client questions to Kathleen and Chris after the go-live date.
I create
a client notebook and folder. The folder contains the information received
at the client meeting. I forward copies of vendor contracts to Helen Pinegar,
Melinda Queen and Maggie Bedford. Any pertinent information regarding
telecom contacts, accounts payable coding, client e-mail are filed on
the folder.
On a weekly
basis, the Implementation Project Manager contacts each client. The client
contact is done via e-mail or telephone conversation. Each time I speak
to a client, I make a detailed record of our conversation in the specific
client notebook. Any change or updates to the Implementation plan are
sent to the client for review on Friday.
Duties

Requirements:
